Registering and Paying for After School Time
Families can sign up for whichever days fit their schedule. Our maximum is 20 participants per day. Most families have a consistent weekly schedule and occasionally add or remove days. We register three times a year: Fall, Winter, and Spring. Signing up for a few months of care at a time can be hard to plan for, but we are very flexible! If you need to make schedule changes after signing up, just email the Program Manager. We can provide you with credit for a future day of After School Time if you give at least two business days notice for cancellations. We do not issue cash refunds (exceptions for special circumstances). Most families decide to split the total cost of each enrollment season into even monthly payments, but a one-time payment is also available.
We use a software system called MindBody which will allow you to pick and choose which days you’d like your kids to attend, view their schedules to confirm when they are and aren’t signed up for care, update your credit card information, and view your payment history and receipts.
If you have used the MindBody software at another business (maybe a gym or yoga studio) or as an adult member here at the NECC, you may already have an account. Once you log in or create your account, you will then be able to connect your children as family members.
After setting up your account, and getting approved by the Youth Programs Manager to enroll, you should be able to enroll your kids in the program. The initial account creation process and connecting to family members can be a little tricky, so we are here to help! Our Front Desk staff are not involved in the administration of the After School Time program, so if you have any problems or need to make modifications to your child’s schedule, please reach out to the Youth Programs Manager (youth@necommunitycenter.org) or Operations Manager (operations@necommunitycenter.org).
Enrollment Schedule by Season 2024-25:
Fall: September 3rd, 2024 to November 22nd, 2024 (Billing on the first of each month split into 3 equal payments)
Winter: December 2nd, 2024 to February 28th, 2025 (Billing on the first of each month split into 3 equal payments)
Spring: March 4th, 2025 to June 10th, 2025 (Billing on the first of each month split into 4 equal payments)
Creating an Account
- To start click the “MindBody” button above
- “Create Account“
- “Continue with Email“
- Enter YOUR name (not your child’s), your email, and a password.
- Below the country field you can click “Add family“
- Add your kids’ names then click “Next“
Common Error Message: “A Mindbody account with this email already exists” If you run into this error, you already have an account, and will need to go back to the Sign In page and use the forgot password feature.
Switching Between Family Member's Accounts
When you log in, MindBody may prompt you to choose which family member’s account you want to use.
Once you choose an account to use, you can toggle between them in the top right corner. You will need to do this to: sign up multiple children, view your children’s schedules, update your payment information, and access enrollment. You can switch between family members by clicking your name in the top right corner, and then clicking the desired name in the drop down menu.
Adding Family Members to an Existing Account
If you logged in to a previously set up account but don’t see your children under relationships. Follow these steps to add them:
- Click your name in the top right corner
- “Add Family Member“
- You will be taken to a different account management page, scroll down and click “Add Family Member” again
- Enter your child’s first and last name
- “Add“
- You may need to go back to necommunitycenter.org in order to return to the NECC’s Mindbody site
Signing Up Each Season
- Go to NECC’s website, click MindBody on the top right, and login.
- Once in MindBody with a fully set up account, click the “After School Time” tab on the top of the page
- The site is open for scheduling between 6 am and 10 pm.
- Click the “Sign Up Now” button under the current session
- If you do not see this button you may need to toggle to your child’s profile. You can do this by clicking your name in the top right corner, and then clicking your child’s name from the drop down menu.
- Choose the dates your child will attend this season. You can quickly choose all the days of a week or all the Tuesdays, but clicking that row or column header.
- You will have the ability to pay for the entire session up front, or sign up as unpaid so you can take part in our regular monthly payment plan. To receive your weekly pricing discount, get set up on a monthly payment plan, or receive your Community Fund price reduction make to sure to “Enroll as Unpaid”.
Payment Option 1. If you would like to pay monthly, are a participant in the Community Fund, or are enrolling Mon-Fri and need the weekly discount to be applied:
- Click “Enroll as Unpaid“
- You’re all signed up! You will receive an email confirming your registration and listing out the dates you enrolled in.
- The Youth Program Manager will set you up with the appropriate payments and email you a receipt.
Payment Option 2. If you would like to pay for the entire season upfront and are not taking place in full-week discounted pricing:
- Click “Enroll“
- Review your total and click “Check Out”
- Enter your credit card information and click “Place Order“
- You’re all signed up! You will receive one email confirming your registration and listing out the dates you enrolled in, and another that is a receipt for your payment.
Program Payment Schedule
When you enroll you will have the ability to pay for the entire session up front, or “enroll as unpaid” and the program manager can set you up on a monthly payment plan.
Monthly payment plan billing happens on the first of each month. Billing will be split into equal amounts each month. For example, if the grand total for a child’s Fall Session (September, October, November) was $525.00, the family would be billed $175.00 on 9/1, 10/1, and 11/1.
Families participating in The Community Fund will have their fees adjusted based on their regular percentage reduction.

Viewing your Child's After School Time Schedule
- Toggle to your child’s profile. You can do this by clicking your name in the top right corner, and then clicking your child’s.
- Click the “My Info” tab
- Click “My Schedule“
How to Cancel or Add an Extra Day
To cancel or add a day of After School Time, please email the Program Manager at youth@necommunitycenter.org. Families are not able to cancel days through their online account.
If calling is more convenient for you, you may also call our Front Desk at 503-284-3377 to inform us of last-minute cancellations.

How to Update your Payment Information
- Sign into your MindBody account
- Confirm that you are in your profile and not your child’s
- Click the My Info tab
- Click either “Add” or “Edit” next to the Billing Information section.
- Enter your credit card info
- Click “Save“
*ACH Payments – While we do have the ability to take ACH payments, the system will not allow you to update that from your customer account. Please reach out to youth@necommunitycenter.org if you would like to update or add your bank account info.
